Why expert advice is worth having

Organisations rarely fail HIPAA because the standard is hard. They fail because the evidence does not match what the auditor asks for.

1

Scope decides the price

Getting the HIPAA scope wrong is expensive in both directions. Too wide and you pay for audit days you never needed. Too narrow and the certificate does not cover what your customer asked about.

2

Someone has to own the detail

HIPAA generates a large amount of small, unglamorous work. Left to whoever has a spare afternoon it drifts for months. Given an owner with a plan it takes weeks.

3

The standard says what, never how

HIPAA is written to apply to every organisation on earth, which is exactly why it never tells you what to do in yours. Turning a clause into your process, on your sites, with your people, is the actual work.

4

Self assessment is generous

Everyone marks their own HIPAA homework kindly. An outside gap analysis tells you the uncomfortable part while it is still cheap to fix rather than three weeks before the audit.

Need a fast steer on HIPAA before your next meeting?

What HIPAA is worth to you

Certification is a commercial decision before it is a technical one. This is where the return usually shows up.

US Contracts Winnable

American healthcare clients cannot sign a business associate agreement with a vendor that has no privacy and security programme in place.

Breach Penalty Exposure

Documented safeguards and incident procedures reduce both the chance of a reportable breach and the penalty band that follows one.

Internal Snooping Stopped

Access controls and audit trails end the casual browsing of patient records, which is where most complaints actually begin.

Offshore Bid Credibility

Indian and other offshore service providers use readiness here to compete against domestic American suppliers on trust rather than rate.

See the documentation

Look at how it is structured before you commit

Most people picture a filing cabinet when they hear documentation. What we build for HIPAA is a working structure: a short manual, procedures written in the words your team already uses, and record formats that get filled in because they fit the job. In a demo we open a real set and walk you through how each clause is answered.

HIPAA in detail

Protected health information and who has to guard it

The Health Insurance Portability and Accountability Act governs how protected health information is handled in the United States. Its Privacy Rule limits use and disclosure, the Security Rule sets administrative, physical and technical safeguards for electronic records, and the Breach Notification Rule sets out what happens when things go wrong. The HITECH Act extended enforcement and pushed obligations down to service providers. It is a law, so nobody issues a HIPAA certificate. What exists is evidence of compliance.

Covered entities are health plans, healthcare clearinghouses and providers who transmit health information electronically. Business associates are everyone handling that data on their behalf, which is where most Indian and Gulf companies sit: medical billing and coding firms, transcription services, revenue cycle management, teleradiology, healthcare analytics, and software vendors hosting clinical applications. The obligation reaches you through a business associate agreement, and your client's auditors will test whether you can actually meet it.

Risk analysis, safeguards and the business associate chain

The Security Rule turns on a documented risk analysis, so that is where we start: where protected health information enters, where it rests, who touches it, and what could go wrong at each point. From there we work through access control and unique user identification, audit logging, encryption in transit and at rest, workstation and facility security, media disposal, and the contingency plan covering backup, restoration and emergency mode operation.

Alongside the technical work sits the administrative half, which is what usually fails. Assigned security and privacy officials, workforce training with records to prove it, a sanction policy, minimum necessary rules applied to real job roles, incident response with a defined breach risk assessment method, and agreements flowing down to your own subcontractors and cloud providers. We write the policies against how your operation runs, then test them with a tabletop exercise before a client does it for you.

Evidence you can show a covered entity

You are left with a risk analysis and risk management plan, a policy set mapped rule by rule to the Privacy, Security and Breach Notification requirements, training records, agreement templates, and a technical configuration baseline. Because there is no accredited HIPAA certificate, we package this as an attestation and evidence pack. Where clients need something a buyer instantly recognises, we align it with a SOC 2 examination or ISO 27001 certification performed by an independent firm.

The immediate effect is commercial. Client due diligence questionnaires get answered from a file rather than from memory, contract talks stop stalling on the security schedule, and a new customer can be onboarded without a three week detour. If a breach does occur, you have a defined notification clock, a decision record and a designated person to run it, which is the difference between a controlled disclosure and an enforcement problem. Regulators look hard at what you did beforehand.

HIPAA questions we are asked most

What does HIPAA involve in practice?

In practice that means documented processes matching how you really work, records showing the system running, people trained on their part of it, and an internal audit completed before anyone external arrives.

What is a realistic timeline for HIPAA?

Plan on somewhere between eight and sixteen weeks. Organisations with existing procedures move faster; those starting from nothing spend most of the time on documentation and getting records actually made rather than promised.

Do you issue the HIPAA certificate yourselves?

No, and no consultant should. The certificate comes from an independent accredited certification body after their own audit. We prepare you to pass it and we are there on the day to close findings. That separation is exactly what makes the certificate worth holding.

What does HIPAA consultancy cost?

There is no useful list price for HIPAA. Two organisations of the same size can differ by a factor of three depending on existing documentation. A short scoping call gets you an accurate written number.

Which industries need HIPAA?

We map HIPAA to 4 sectors and it sits in our medical devices practice. Organisations usually arrive because a specific buyer, regulator or tender committee has asked. Tell us who is asking and we will confirm whether this is the standard that satisfies them.

Do you have to visit our premises?

We work onsite, remote or a mix. Multi site groups often use remote sessions for documentation and reserve site visits for the gap analysis and the audit itself, which keeps travel cost out of the fee.
